We collect your name, information about the job that you hold (your classification group and level, your job title), the identifying number that your sponsoring organization has assigned to you (such as your personal record identifier, your Military service number, or your RCMP regimental number), your language of work, the course or training that you want to take, the results of your training, and the department that you work for. If you are a federal government employee, some or all of this information will be sent to the School from the Training Coordinator in your department. We may also ask you for information about any special needs that you have, or we may, depending on your learning and training needs, collect information about your aptitude for language learning, or your prior learning experiences.
We also collect information about your training experience with us, your thoughts, opinions, and recommendations. If you prefer, you can remain anonymous when you fill out a course evaluation.

We need all of the information that we collect in order to ensure that you are registered to the right course at the right time, to ensure that we charge back the costs of the course to the right department (if you are being sponsored by your employer), to improve the services that we provide, and to fulfil the reporting obligations that we have.
We use your basic identifying information to contact either you or the person acting on your behalf (such as your departmental training coordinator), and to register you to the training program that you want at a time and date that works for you. If your training has been sponsored, we advise your employer, electronically, of the results of your training, and we invoice your department for our services. We use information about your special needs and/or your aptitude for learning to adapt training programs. We use information about your prior learning experiences to determine the right level of training for you. We use your assessments of your training experience to adjust course content and structure, provide feedback to our trainers, and to ensure the best possible training environment.
We use aggregate information about our training programs to produce statistical reports, for example, on the number of learners, and the types of courses that we provide.
If you are a federal public servant, we keep information about each training event that you attend in an electronic record, your 'learner profile'. The profile, a unique record assigned to you, will follow you throughout your public service career. It is destroyed, along with all of your employment records, 5 years after you leave the federal public service.
If you are not a federal public servant, we keep information about you and your training experience for two years.
We may have some of your personal information on paper. We keep paper records of assessments of your language aptitude, and we may have a paper record of your previous training with another employer.
We treat all of your personal information as 'particularly sensitive', a classification that requires, as a matter of federal government policy, strong security measures: restricted access, password protection, and encryption during electronic transmission. Our database application is known as the Integrated Learning Management System (I-LMS).
We only share information about you and your learning experience with your employer or sponsor. The School is subject to the reporting requirements set out in the Policy on Learning, Training and Development.
